Personal Projects
1. Have an APPROXIMATE deadline decided before starting a project.
This is to ensure members know what they're signing up for before they sign up. We don't want any surprise or clashing deadlines with other projects that may cause "lateness". To be safe, have a minimum of 2 weeks in between sign up ending and deadline. However, no deadlines should exceed more than a month from when sign ups end. This is to prevent people from forgetting about the project or sudden things coming up (sickness, traveling, technical difficulties, real life situations, etc) preventing a member from recording.
If you want a FAST project, clearly state such a thing and have the deadline set already.
[b]2. Deadlines may not be on mondays or fridays, and there can only be one deadline on a day, unless one of them was extended[/b]
This is to prevent a sudden mass amount of deadlines, which in results, leads to even more late projects. It also helps out the mixers by giving them some leeway or enabling them to actually be able to help out with mixing since they don’t have to mix many projects at once.
3. Leaders are expected to be available while their project is open.
You should be able to access the computer while your project is running. This means not opening projects and then going on trips. An exception if the leader is sick. If it’s absolutely necessary and impossible for you to be on (sickness or real life problems) temporarily pass on the duty to another member or mod.
This is because when leaders are not available and some sort of problem occurs with the project, the project gets set back. It’s the easiest for everyone if the leader is easily accessible and keeping track of the project.
4. Meet the deadlines!
This has been a problem lately. Everyone is expected to meet the deadlines: members, mods, and project holder. If you seem to be repeatedly late without a valid reason, you will be punished (the mods are currently in the works of an active penalty system). If you know you’re going to be a little late, let the project leader know ahead of time.
Same applies for project leader. It is unfair to members if they do their best to send their files in on time yet have to wait on their project leader to have the time/motivation to mix and release their songs or color-code lyrics. Make sure you consider time management and if you have the dedication and time to release a project successfully.
However, if something unexpected comes up you are unable to find the time to carry out your project leader responsibilities, you may PM on of the admins and ask for an extension, put the project on hiatus or ask that another member take over the responsibilities for that project.
5. Allow only one extension
This is to prevent people from going “I’ll have it in by this day” but don’t turn it in until a week later. The leader can set one or the member can set one, if the leader allows it. Once the extension is granted, it is a ‘final deadline.’ It is suggested that the maximum extension would be a week, but it is up to the leader. Allow no more than two weeks.
6. Only two projects at a time!
Leaders of a project may NOT start a new project until their current ones are finished and released.
I cannot stress this rule enough. This is to ensure that members aren’t overloaded with their own personal projects and official projects. This also helps refrain excessive part hogging as explained in the general rules (also see rule 10).
7. Wait at least 4 days after your project is released before opening another one
With many more active members, the limit of one project doesn’t completely help out with overloading members with projects. This allows the other members to open a project without worrying about there being too many projects open, and members not being able to join. Along with that, it helps out with preventing the late projects from never ending.
8. There may only be two projects on-going by the same member.
To keep deadlines hanging and over-working yourself and everyone else.
9.You can only reserve ONE spot
Except yourself of course.
We use the first-come-first-serve system, which means that the sign-ups are open for anyone. First person who sign-ups for a part gets it.
10. No excessive part hogging.
This is to allow the other members to have a chance at all the parts. (This applies to taking the person every other project also. Use your judgment)
11. Try to use good vocal cut songs aka be considerate when choosing songs.
Before opening a project to check to make sure the song you want has an official instrumental, fan made instrumental or a decent vocal cut. Bad vocal cuts are hard for the mixer to work with, and just generally, the cover ends up sounding worse.
12. Make sure it is an Asian song that hasn't been covered recently.
Let it go at least a month after the release date of the project before you open the same song again. Then, those who participated the first time, gets to sign up after everyone else.
13. Keep a low number of the teams!
This is to prevent projects and teams without mixers, as well delaying the projects and missing parts, or leaving people who've submitted for their team hanging.
14. Multi-song projects are allowed, but the following limits apply:
If you can mix or have at least three mixers for sure, then you are allowed a maximum of three songs. If you cannot mix and have no definite mixers, you may only open two songs.
•There should be no more than two teams on one song (and only if mixers are available)
•If there are three songs, limit members from joining all of them. You can choose to either allow them to join only two or one (which also applies to two-song projects).
•If the songs are coded like the original, a member may not take the same part for multiple songs
15. Canceled projects and leader MIA will be subject to penalties.
If you decide to cancel a project you were leader of, you will not be allowed to start another project for 6 months. This may sound a bit extreme, but seeing as how there are other options (see rule 4), I don't think there's much to complain about. The purpose of this rule is to emphasize how important the leader's responsibilities are, and if it is canceled it just goes to prove you should not have started it in the first place.
A project leader MIA (missing in action) is when the deadline of a project's release has come and gone and there has been no release, status update, or information of any sort given by the project leader. He or she will then be considered as having gone MIA, and as a penalty will not be allowed to start another project for a 6 month period (longer or shorter) depending on how generous the admin is feeling at the time/how long the project leader was MIA/what reasons they were missing.
16. New Tagging System.
AOE will be following a strict and unified tagging system for better tracking of songs. Mixers, please upload using this system.
Before uploading please check that the song has the following in the MP3 properties (you can check by right clicking on the mp3 file):
